Job Summary:-

This position ensures that the achievement of customer collection targets, essential to the profitability of the company are met. This critical group of employees manage overdue accounts, reduce the companies risk and minimize losses. They support the sales team by affording credit facilities to desired customers.

Job Specific Skills & Competencies:-

  • Attend to all calls professionally, be friendly and helpful. Do not argue with the customers
  • Check telephone numbers, postal address, and delivery address with customer. Always ensure the customer gets the right information they requested. If ledger card, POD etc need to be faxed, do it immediately do not delay.
  • Ensure notes are updated on Pastel immediately after each call.
  • Phone at least 15 customers per day. Start at the top of your age analysis and work through each account.
  • Ensure cash book postings are done on a daily basis.
  • Ensure bank queries are done on a daily basis.
  • Attend to all messages within an hour of receiving it.
  • Give priority to new account applications and follow up regularly on any missing information, keep customer and sales rep informed at all times.
  • Do not delay orders, check orders at least every half hour, phone customers and Sales Consultants immediately if order cannot be released.
  • Keep your manager informed regarding what you have done daily.
  • Always make sure your work is up to date on a daily basis.
  • Monthly allocation of the ledger to the team and sending compiled data to Head Office after validation
  • Monthly review with team
  • Regular and persistent follow up on major accounts
  • Guiding the team in BAA preparation and coordination with Head office for processing
  • Daily updates on unaccounted FET, UNA, UNI, etc.
  • Proactively assessment of the clients intentions and their financial soundness through various apparent and market feedback and advise Supervisor/RM regarding need to withdraw credit facilities. Advise withdrawals of credit facilities to customers who have exceeded predetermined credits limits.
  • Ensuring that invoices are timely submitted at customer end to payable department so that payment to be collected within credit terms from invoice submission.
  • Planning, setting and advising payment collection strategies to make smooth collection of outstanding payment.
  • Handling Query MIS and reporting the same to Head office. Assist in ensuring that receivable invoice queries are accurately and completely logged by reason code on a timely basis. Assist in ensuring that queries are quickly resolved.
  • Compilation of GST Certificates, Form 16 TDS certificate, Balance confirmation letters, to head office
  • EFD Documentation follow up with Head office
  • Training to new joinees in terms of systems, policies and tools.

Qualifications and General Requirements include:-
  • Matric or Finance Qualification.
  • Knowledge of administration and clerical processes & good data entry/keyboard skills.
  • 1-2 years related experience and/or training or equivalent combination of education and experience.
  • Expressing ideas effectively in individual or group situations and across distances
  • Adjusting language or terminology to the characteristics or need of the audience. Initiate conversations and invite others to communicate with them.
  • Break down explanations of complex rules, processes, products or situations into manageable pieces of information.
